Outlook 2010 Exchange Download Headers Only: How to Enable or Disable This Feature



If you want to disable caching of shared mail folders (like a delegated Inbox) but not shared non-mail folders (like Calendar), see By default, shared mail folders are downloaded in Cached mode in Outlook 2010 and later versions.


We recommend that you do not synchronize mobile devices when the Cached Exchange Download only headers setting is enabled. When you synchronize a mobile device by using ActiveSync, for example, full items are downloaded in Outlook, and the synchronization process is less efficient than it is during regular Outlook synchronization to users' computers.

The Download only headers setting for synchronization is designed for Outlook users who have dial-up connections or cellular wireless connections, to minimize network traffic when there is a slow or expensive connection.


For a scenario where users' actual data throughput is slow, even though their network adapters report a fast connection, you can disable automatic switching to downloading only headers by using the Group Policy option, Disallow On Slow Connections Only Download Headers. Similarly, there might be connections that Outlook has determined are slow but which provide high data throughput to users. In this case, you can also disable automatic switching to downloading only headers.


You can configure the On slow connections, download only headers option in the Office Customization Tool (OCT), or configure the option by using Group Policy to set Disallow On Slow Connections Only Download Headers.


Download Headers and Then Full Items After message headers are downloaded, downloading of message bodies and attachments begins. When downloading a large amount of items, this setting is useful so you can see message headers quickly and then choose a message to open without first waiting for all messages to be downloaded in their entirety.


When data is optimized for an Exchange connection type, the type of items that are synchronized with your server mailbox are different. For example, when you use a fast connection, Office Outlook 2007 copies the header, body, and attachments of an email item from the email server to your computer. When a slower connection is selected, only headers are automatically downloaded. The body and any associated attachments are downloaded only when requested by you, or as necessary for synchronization with personal digital assistants (PDAs), auto archiving, and some client-side rules. In a slower connection environment, the Offline Address Book is also not automatically updated. However, you do have the option of manually requesting the update.


Later that day, you use a modem for dial-up access to your Exchange account. Outlook recognizes your connection is slow and automatically optimizes for that connection by downloading only headers and not updating the Offline Address Book. Additional optimizations are also made to reduce the amount of data sent over the connection.


An email message internet header provides a list of technical details about the message, such as who sent it, the software used to compose it, and the email servers that it passed through on its way to the recipient. Most of the time, only an administrator will need to view internet headers for a message. Hi. Quite confused about this really. I have 3 mailboxes (each added manually) and want the main one to download full items, but the other two to download headers only. Ticking "download headers" under "download preferences" applies headers only to all mailboxes, and shows "connected to Microsoft Exchange(headers)" in the bottom right hand corner - however, this is not what I want. I have looked at and tested "send/receive groups", and specified manually the headers only on individual folders, but this seems to do absolutely nothing ...the "connected to Microsoft Exchange(headers)" does not appear for the folders I have set.How do I get this to work? Which setting takes precedence? The send/recieve group talks about frequency etc, but Exchange just receives email immediately. Obviously I have 'ticked' "include the selected account in this group" for the "all accounts" group.Anyway, I'm running Office 365/Exchange Outlook 2016. Searched/read all over internet and still confused.


Hi Perry. thanks for looking further into this for me. I have to say that I'm not particularly satisfied with the answer - I assume someone should know the operation of this feature inside out. As it is there, enabled whilst my Outlook has Exchange accounts attached, I assume it should work; also, "download headers" already works using the ribbon setting, so there must be someway for it to be enabled for specific/individual accounts ...the functionality/capability is clearly there.


The following table provides information and tips for entering advanced Exchange settings. Settings include options for changing port numbers, using SSL, downloading message headers, and setting server addresses. To access these settings, click Outlook > Preferences > Accounts, select the Exchange account, and then click Advanced.


If you have a slow network connection, you can use this option to improve performance. Only message headers are automatically downloaded to your computer. Therefore, large messages (and any attachments) are downloaded only if you select them in the message list. However, when you are offline, you can't read the message bodies or attachments.


You can limit downloads of items that exceed a specified size to headers only. Select the Download only headers for items larger than check box, and then enter the size limit that you want in kilobytes (KB).


Since a POP3 account can only download from the Inbox folder, moving your junk email messages to a different folder on the server will prevent Outlook from being able to download already identified junk email.


Another approach would be to set the Junk E-mail folder to only download the message headers for that folder. This way you can still empty the folder from within Outlook but also minimize the bandwidth and (local) mailbox space taken up by the Junk E-mail messages.


There is no way I know of to do that. You can only choose to download headers, or full e-mails (HIGHLY recommended in my opinion). I would also recommend that you teach users to not store too many items in one folder, since that seems to affect performance. In general, for IMAP, it is just slow with larger mailboxes.


I dealt a bit differently with the same issue, where a user wants to use Outlook with Google Apps for Business. You can just go to Gmail settings and under "Forwarding and POP/IMAP" tab, change option "Limit IMAP folders to contain no more than this many messages" to 1000 (which is the lowest number). This will make Outlook download only 1000 latest emails. It works without a problem.

Retrieving and viewing emails from Exchange, Office 365 cloud or other mail servers will be quick in this way. In this method, Outlook downloads the only headers (sender and the subject) of an email. So it becomes easy to go through the new emails quickly without waiting to download the entire emails with attachments, especially on the slow internet/metered network.


This will not affect the emails which were already downloaded completely. In the future, all new emails will be downloaded with header information only.The below sample shows an email that was downloaded the only header with the special icon on it.


The above method is applicable for all mail folders in your Outlook. In this way, you can have a separate download only header or full email download option for each mail folders in Microsoft. These steps are applicable for most of the Operating Systems including macOS as long as you have Microsoft Office installed.


When using this option, Outlook will download only the mail header and not the mail content.By using this option, we can eliminate the mail content that could cause the synchronization problem. We can use the mail header for getting information about the number of mail items, the size of each mail item, information about attachment size included in the mail item, etc.


I am using Outlook 2010 and have for years. Some time ago the option to download pictures in emails disappeared. I recently upgraded the OS from win7 to win 10 and there was no change (not that I was expecting any). Today I have unchecked the check boxes in the trust centre download and yet still the pictures do not download. I have checked out a number of help sites and there seems to be many with this problem without one solution being offered by anyone.


I have the exact problem as Aaron. outlook 365 is my client for hotmail, and gmail. images do not appear. option to view message in browser only. if I fwd I see the images, send to myself to/from hotmail/gmail when message is received, same issue. I have tried everything here and privacy settings in windows. I have shut off firewall and defender settings. removed other Anti-virus. has anyone found an fix for this 2ff7e9595c
